To do our job we need certain pieces of office equipment and stationery on hand at all times 1. Most important a good calculator with numeric keys that fits your fingers and a screen you can read 2. A desk tidy to keep all your pens, paper clips, markers etc. in your desk drawer or on your desk 3. At least one red and one blue pen (or black) to ensure you can always write something! 4. A highlighter pen for highlighting important items on reports
5. A stapler that can staple lots of paper together and not a tiny stapler that holds only a few small staples. Yes they look nice but they are not very practical for a desk. 6. A box of staples. Staples always seems to run out at the most inconvenient time 7. A box of paper clips for keeping paper together 8. A Notebook or Writing pad for notes 9. A to do list for the day 10. A ruler 11. Date Stamp for post 12. Passed by stamp, to make sure the relevant person passed the invoice 13. Pocket Files that you use to distribute invoices to the relevant people for passing 14. Flat Screen Monitor for our computer (This frees up an incredible amount of desk space) 15. Suitable mouse with space to move it around (A mouse makes you inefficient, a keyboard is the most productive way of using your computer)
You also need access to: Hanging Green Files for filing cabinets Long Cut Manilla Folders to put inside the folders Treasury Tags Pocket Files Other items: A good keyboard and if using a laptop a numeric keypad and stop using the number keys at the top of the keyboard A spreadsheet such as Microsoft excel or Open Office Calc to do your number crunching on. You can get online spreadsheets at docs.google.com and zoho.com and many other websites. If you have an internet browser you have access to a spreadsheet. These other items may be on your desk, but are they really necessary? Elastic bands (what do you need them for) Totter or paper totting machine (use a spreadsheet) - see this video to understand how Post it notes (they fall off) Tippex (c) Helpforbookkeepeers 2008 |
